QuickBooks Vendors: 3 Reasons to Add Vendor Names
Video • Last Updated: September 17th, 2026 • Amber Maloneearn why adding vendor names in QuickBooks helps you track payments, organize records for 1099 prep, and review expense categories. Amber Malone shares three reasons to make this part of your bookkeeping routine.
Why QuickBooks Vendors Matter
QuickBooks vendors are the people and businesses you pay for goods or services. Adding a vendor name helps you track where your money goes and find past payments when you need them.
In this video, Amber Malone, founder of Amber’s Accounting and Bookkeeping LLC, explains three reasons to add vendor names when you review your bank feed.
1. Find past payments
Vendor records help you check who you paid, how often you paid them, and how much you spent. You can look up payments to a supplier or contractor without searching through every bank transaction.
2. Keep records ready for 1099 prep
Clear vendor records help you gather payment details and spot missing information before tax time. Not every vendor payment requires a 1099. Check the rules for the payment year and how you paid each vendor.
3. Review your expense categories
Past transactions help you review how you recorded similar purchases.
- The vendor name tells you who you paid.
- The expense category tells you what you bought.
One vendor may provide different goods or services, so choose the category that fits each purchase.
A Simple Habit for Clearer Books
When you review your bank feed, check both the vendor name and the expense category. Use the existing vendor record when you pay the same business again to help avoid duplicate entries.
