How far behind can my bookkeeping be before it becomes a problem?

The most obvious problem is usually a tax deadline. Many business owners reach out after hearing from their CPA or receiving pressure from the IRS. Beyond taxes, the bigger issue is running a business without accurate financial information. Decisions start getting made based on a bank account balance instead of real numbers. In most cases, falling behind a month or two can still be manageable. Once bookkeeping reaches three months behind or more, it becomes much harder to clearly understand what is happening financially inside the business.

How far back can you go to catch up my books?

Books can be caught up several years if needed. The biggest challenge is usually bank access, not the bookkeeping itself. Most banks only allow 18 months to 2 years of online transaction history. When records go further back than that, additional strategies are used to retrieve the information, and in some situations transactions may need to be entered manually. Older bookkeeping can absolutely be rebuilt—it just requires more time and detail.

How long does it usually take to clean up bookkeeping?

Most cleanup projects are completed within about a month, although some can move faster depending on complexity and responsiveness. A clear deadline is agreed upon upfront and included in the service agreement so expectations are defined from the beginning. The goal is not just speed, but delivering a clean and accurate set of books that can actually be trusted moving forward.

How much does bookkeeping cleanup typically cost?

Most cleanup projects fall somewhere between $2,000 and $15,000. The reason for the wide range is that every situation is different. Pricing is mainly driven by how much time has passed, how many transactions need to be processed, and the complexity of the financial activity. A business needing 24 months of cleanup will naturally require significantly more work than a business that is only a few months behind. The more accounts, transactions, and cleanup required, the more time and investigation the project involves.

What do you need from me to get started?

The first step is access to the QuickBooks Online file along with a signed service agreement that clearly outlines the scope of work. Access is also needed to the bank accounts, credit cards, loans, payment processors, and any systems connected to the movement of money inside the business. Wherever money flows in or out, visibility is needed in order to properly clean and rebuild the books.

What happens after the cleanup is finished?

Once the cleanup is complete, the reports are reviewed together in a Zoom meeting so there is a clear understanding of what was found and what the numbers are saying about the business. If historical data exists inside QuickBooks, comparison periods can also be reviewed to help identify trends and larger financial patterns. During that same meeting, ongoing monthly bookkeeping options are discussed to maintain the clean and organized financials moving forward.
