We Do Almost Everything in Bookkeeping — Here Are the Only 3 Things We Don’t
Article • Last Updated: February 20th, 2026 • Amber MaloneLast Updated 2/20/2026 | From QuickBooks setup to monthly reporting, we're deep in your financials. But there are three things we intentionally leave to you and your CPA — and there's a smart reason for each one.
What does a virtual bookkeeper actually handle — and where does their job end? That’s one of the most common questions we get from small business owners, and it deserves a straight answer.
Quick Answer At Amber’s Accounting & Bookkeeping, we handle virtually everything in your financial system — QuickBooks Online setup, monthly bookkeeping, financial reporting, clean-up, cash flow tracking, and advisory support. There are only three things we intentionally don’t do: invoice your clients, run payroll for hourly employees, or give tax advice and file taxes. Here’s exactly why — and what we handle instead.
We get a lot of questions from small business owners at every size and stage. Things like:
- “Do you buy QuickBooks for me?”
- “Can you fix my messy books?”
- “Do you pay my bills?”
- “Do you file my tax return?”
- “Do you handle sales tax?”
- “Do you invoice my clients?
Honestly, these questions tell me something important: business owners want clarity. They want to know who is responsible for what. They want to know where the line is between bookkeeping, accounting, and tax work.
So let me make it simple. We handle almost everything related to professional bookkeeping and accounting — from QuickBooks Online setup, to clean-up work, to monthly financial reporting, to cash flow tracking, to advisory support. We’re deeply involved in your financial system.
But there are three things we intentionally do not touch. Only three. And there’s a good reason for each one.
1. We Don’t Invoice Your Clients — and Here’s Why That’s Actually Better for You
You know your customers. You know the work you did, the hours you billed, and what was agreed to in the contract. We don’t.
You sold the service. You built the relationship. You set the expectations. That puts you — and only you — in the best position to request payment clearly and confidently.
When a third party starts guessing on invoices, things can go sideways fast. We’ve seen it happen:
- Clients billed the wrong amount
- Duplicate invoices sent out
- No invoice sent at all
- Bills sent after payment was already received
That’s uncomfortable. It damages your credibility. And it slows down your cash flow — which is often the most critical number for a service business generating $250K to $5M a year.
What we do handle: We make sure your invoicing system is airtight. That includes designing an efficient invoicing workflow, setting up best practices for accounts receivable (the process of tracking money owed to your business), customizing your QuickBooks Online invoicing system, and improving your collections and follow-up processes.
You stay in the driver’s seat. We build the road.
2. We Don’t Run Payroll for Hourly Employees — But We Handle Everything Around It
Payroll is one of the highest-risk areas in any small business. When it’s wrong, people notice immediately.
If you have hourly employees, someone inside your company needs to:
- Enter hours worked
- Review timecards
- Approve payroll
- Click “Run Payroll”
That accountability has to live inside your business. Why? Because you know when people worked, when they left early, when overtime applied, and when policies changed. We don’t see any of that in real time.
Here’s an honest truth the industry often sidesteps: Some bookkeeping firms will offer to handle hourly payroll, but without real-time visibility into your team’s hours and attendance, errors are almost inevitable. Missed overtime. Incorrect hours. Compliance exposure. The liability lands on you, not the bookkeeper.
Salaried payroll is a different story. Those runs can often be automated and scheduled without internal oversight, and we can help with that.
What we do handle for payroll:
- QuickBooks Online Payroll setup
- Employee mapping to expense categories
- Labor cost tracking and reporting
- Payroll system optimization
- Automation for salaried staff
We make payroll clean, organized, and reportable. You keep control over the part that requires your leadership.
3. We Don’t Give Tax Advice or File Taxes — and You Should Be Skeptical of Anyone Who Does Both
If the service includes the word “tax,” it’s not our lane. That includes:
- Sales tax
- Income tax
- Business tax returns
- Tax strategy and tax brackets
- Franchise tax
- Compliance filings
This is intentional and it protects you.
We are bookkeeping and accounting professionals. Tax law is a separate discipline, and we partner with CPAs and tax attorneys who specialize in it. It is literally their job to know the rules, interpret them correctly, and protect you legally.
We work closely with your CPA or tax professional. We learn from them. We support them with clean, accurate financials that make their job easier and your tax filing more accurate. But when it comes to taxes, they’re your quarterback and you want it that way.
What you should know: Some bookkeeping firms market themselves as a “one-stop shop” for bookkeeping and taxes. On the surface, that sounds convenient. In practice, it can mean neither is done with the depth and focus it deserves. Specialization produces better outcomes. A firm that lives and breathes bookkeeping does it better than one splitting attention between books and tax law.
Why These Boundaries Actually Make Everything Work Better
Some firms say “yes” to everything. That sounds appealing until something goes wrong.
Clear roles create better results. Here’s how it works when everyone stays in their lane:
- You control billing and client invoicing
- You oversee hourly payroll with real-time context
- Your CPA handles tax strategy, compliance, and filing
- We manage your books, financial systems, reporting, and advisory support
When the roles are clear, your financial data is accurate. Your reports are reliable. Your cash flow improves. Your stress goes down. Your decisions get smarter.
That’s not an accident. It’s a system.
We’re Not Just Bookkeepers. We’re Financial Partners.
At the end of the day, our role isn’t data entry. It’s to help you understand your numbers, trust your reports, spot problems early, make confident decisions, and build a profitable, stable business.
Clean books create clarity. Clarity creates confidence. Confidence creates growth.
That’s what professional bookkeeping and accounting should do for a service business at your stage.
If you’re tired of guessing, reacting, or feeling unsure about your finances, it may be time for a better system and a team that tells you exactly what they do and don’t do before you ever sign anything.

Frequently Asked Questions
Do you set up QuickBooks Online for me? Yes. QuickBooks Online setup is one of our core services. We’ll configure your chart of accounts, connect your bank feeds, and build the reporting structure that fits your business.
Can you clean up my books if they’re a mess? Absolutely. Clean-up work is something we do often. Whether your books haven’t been touched in months or have errors going back years, we’ll get them accurate and current.
Do you help me understand my financial reports? Yes and this is one of the things we think separates great bookkeeping from basic bookkeeping. We don’t just send you a profit and loss statement and disappear. We help you understand what the numbers mean and what to do about them.
If you don’t file taxes, do I still need a CPA? Yes. If you own a business, you need a CPA or enrolled agent for tax filing and strategy. We can work alongside your existing CPA or help you find one who’s a good fit for your business stage.
What size businesses do you typically work with? We work with service-based businesses generating between $250,000 and $5 million in annual revenue. At that stage, clean financials and reliable reporting aren’t optional, they’re what allow you to grow intentionally.
Do you handle paying my bills? We support accounts payable workflows, including tracking what’s owed and organizing your payables system. The actual authorization and payment approval typically stays with a business owner or designated internal person for security and control.
What if I don’t have a CPA yet? We’re happy to help you think through what to look for. Our work is designed to integrate seamlessly with any qualified CPA so your tax professional has everything they need when the time comes.
